What sits inside the monthly fee
and what does not
Accounting software records what your bank tells it. It does not decide which account a hardware store charge belongs in, chase the receipt behind it, or notice an invoice was paid twice. That is the part you are buying — and here is where it starts and stops.
Every charge on your bank and credit card feeds is coded to your chart of accounts and matched to the document behind it. What we cannot place is held in a queue and comes back to you as one list, not a run of emails.
Bank, credit card, and loan accounts are agreed to the statement, receivables and payables are aged, and payroll journal entries from your provider are posted so the CRA remittance account ties. We do not run payroll — we coordinate with whoever does.
HST/GST prepared and filed on your assigned frequency, with input tax credits checked against the ledger instead of assumed. PST, RST, and QST filed separately where they apply.
P&L and Balance Sheet by the 10th, then a closing package at year-end: trial balance, general ledger, tied-out balance sheet accounts, and fixed asset and loan schedules.
Running your payroll, filing your T2 or personal return, paying bills, and moving money. Those stay with your payroll provider, your accountant, and you — we hand each of them numbers that already tie.

Most owners put this off because they picture a painful handover. In practice you hand over four things and we do the rest, inside the file you already own — nothing is exported or rebuilt.
Mid-year is fine. So is the week before a filing deadline. Nine months behind becomes a catch-up quote first, then the monthly service.

What you hand over
Read-only feed access, a user seat in your QuickBooks Online or Xero file, your CRA business number and filing frequency, and last year's statements. That is the whole list.
We are in and working
Setup is done within 48 hours of access. You revoke your previous bookkeeper's seat whenever you are ready — the file does not move, so there is no gap.
Opening balances checked
We agree your opening balances to last year's statements and flag what does not tie: stale uncleared cheques, unreconciled sales tax, duplicated invoices. You see the list first.
First monthly package
P&L, Balance Sheet, and a note on anything that needs a decision from you. Same date every month after that.

Handing your records to someone you have never met in person is the part that stops people. Here is exactly how access works.
Read-only bank feeds
Feeds connect read-only through QuickBooks Online or Xero. Transactions flow in; nothing flows out. We cannot move money, add a payee, or release a payment — that authority stays with your signing officers.
Named logins, two-factor
Access runs through named user accounts with two-factor authentication, never a shared password. When someone stops working on your file, that seat is removed the same day.
Receipts attached to the entry
Forward bills to a dedicated inbox or drop them into your software's document store, and each one attaches to the transaction it supports. CRA expects those records kept six years — this is how you do that without a filing cabinet.

and what a bank feed really does
We work in QuickBooks Online and Xero. If you have a file we join it, and you keep ownership of the subscription and the data. If you are on spreadsheets, we set the file up during onboarding at no extra charge.
A bank feed is a one-way connection that pulls in the date, amount, and description of each transaction, usually overnight. That is all it carries — everything else gets added on top, which is why a file can look finished and still be wrong.
