Terms of Service

These Terms of Service (“Terms”) govern your use of the bookkeeping services provided by Outsource Bookkeeping (“Company,” “we,” “us,” or “our”), accessible at outsourcebookkeeping.ca. By engaging our services, you agree to be bound by these Terms. Please read them carefully before proceeding.

1. Services

Outsource Bookkeeping provides remote bookkeeping services to Canadian businesses, including monthly transaction categorization, bank reconciliation, HST/GST filing preparation, financial report preparation (Profit & Loss, Balance Sheet, Cash Flow Statement), and year-end package preparation. Services are delivered fully remotely via cloud-based accounting software (QuickBooks Online, Xero) and secure digital communication.

We are not a CPA firm. We do not provide tax advice, tax planning, corporate tax return filing, or auditing services. These services require a licensed Chartered Professional Accountant (CPA).

2. Service Agreement and Onboarding

Services commence upon completion of a free consultation, agreement to our service plan, and receipt of all required account access credentials and business information. Onboarding typically takes 24–48 hours from receipt of all required materials. We guarantee your first month's reports will be delivered within our standard timeline after all required information is received.

3. Payment Terms

Our flat-rate pricing is:

  • $500/month — standard monthly bookkeeping service (unlimited transactions)
  • Billing occurs monthly in advance on the 1st of each month
  • Accepted payment methods: credit card, bank transfer (EFT)
  • All prices are in Canadian dollars (CAD) and exclude applicable taxes
  • Late payments (30+ days) may result in suspension of services until the account is current

4. Our Delivery Guarantee

We guarantee delivery of your monthly financial reports (P&L, Balance Sheet, Cash Flow Statement) by the 10th of the following month, provided that all required bank statements, receipts, and information have been provided to us by the 5th of that month. If we fail to deliver reports by the 10th (and all information was received on time), we will provide a credit equal to one month's service fee.

5. Client Responsibilities

To enable us to perform our services, you agree to:

  • Provide accurate, complete, and timely access to your bank accounts, credit cards, and financial records
  • Respond to questions and information requests within a reasonable timeframe
  • Notify us of any significant changes to your business operations, structure, or ownership
  • Retain all original receipts and source documents for a minimum of 6 years as required by CRA
  • Review all reports and filings we prepare and notify us of any discrepancies promptly

6. Cancellation Policy

Either party may terminate the service agreement with 30 days' written notice. Upon cancellation, we will provide a final set of reports for the completed portion of the final billing period. No refunds are issued for the current month's service fee. You will retain full access to your accounting software and all financial data at all times.

7. Confidentiality

We treat all client financial information as strictly confidential. We will not disclose your financial information to any third party without your express written consent, except as required by law (including CRA requests) or to provide the contracted services (e.g., your designated CPA). Our team members are bound by confidentiality obligations.

8. Limitation of Liability

Our liability for errors in bookkeeping is limited to correction of those errors at no additional charge. We are not liable for any CRA penalties, interest charges, or financial losses arising from information you provided that was inaccurate, incomplete, or untimely. Our total cumulative liability in any 12-month period shall not exceed the total fees paid by you in that period.

We are not liable for indirect, incidental, consequential, or punitive damages arising from the use of our services.

9. Governing Law

These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein. Any disputes shall be resolved in the courts of Ontario, Canada.

10. Changes to These Terms

We reserve the right to modify these Terms at any time. We will notify active clients of material changes via email at least 30 days before the changes take effect. Continued use of our services after the effective date constitutes acceptance of the revised Terms.
